Outlook Says Your Attachment Is Too Large? Here Is the Better Way to Send It

A Large File Can Stop a Simple Email

You finish a proposal, scan a customer packet, export a presentation, or collect a set of project photos. Then Outlook reports that the attachment is too large.

Employees often respond by sending several separate emails, lowering image quality until documents become difficult to read, or uploading the file to an unapproved personal service. Those workarounds can create version confusion, delivery failures, and security concerns.

The better solution depends on what the file contains, who needs it, and whether the recipient should view or edit it.

Why Attachment Limits Exist

Email systems limit message sizes so one oversized message does not consume excessive capacity or repeatedly fail during delivery. Your company’s settings, Outlook version, recipient’s email provider, and mobile application may all enforce different limits.

An attachment also becomes slightly larger while it is prepared for email transmission. A file that appears close to the limit on the computer may exceed the limit after Outlook processes it.

That is why increasing the company’s email limit is not always helpful. The recipient’s system may still reject the message.

Best Option: Share a Managed Cloud Link

For most large business files, the cleanest option is to store the document in an approved OneDrive or SharePoint location and email a link.

A cloud link keeps the email small and allows everyone to work with one current file. It also gives the business more control than sending a separate copy that may be downloaded, forwarded, or edited without anyone knowing which version is final.

In Outlook, employees can often select a file from OneDrive or upload a local file to OneDrive while composing the message. Outlook then lets the sender share a link instead of attaching a full copy.

Check Permissions Before Sending

A link is only useful if the intended recipient can open it, and it should not provide more access than necessary.

Before sending, confirm:

  • Whether the recipient is inside or outside the organization
  • Whether the person should view or edit the file
  • Whether the link is restricted to named recipients
  • Whether the file contains sensitive information
  • Whether an expiration date is appropriate
  • Whether the recipient is allowed to download a copy

Do not automatically choose “anyone with the link” for customer, employee, legal, financial, or confidential information. A restricted link may require the recipient to verify their identity, but that extra step can help protect the document.

If Outlook warns that a recipient cannot access the link, correct the permissions before sending the message.

When Compressing the File Makes Sense

Compressing a file creates a ZIP folder that may be smaller than the original. This can work well for collections of documents, spreadsheets, or certain project files.

Compression is less helpful for file types that are already compressed, including many photos, videos, and PDFs. Putting those files into a ZIP folder may produce only a small reduction.

Recipients must also be comfortable opening ZIP files. Some organizations block compressed attachments because they can conceal unsafe file types.

Use compression when it is permitted, genuinely reduces the size, and does not create unnecessary difficulty for the recipient.

When to Reduce Image or PDF Size

Large photographs and scanned documents often contain far more detail than the recipient needs.

If the file is intended only for reference, resizing photographs or exporting a smaller PDF may be appropriate. Keep the original in an approved business location, particularly when it is a signed record, design file, medical document, legal document, or customer deliverable.

Before reducing quality, check whether small text, signatures, measurements, or other details must remain readable.

Avoid Risky File-Sharing Workarounds

Employees should not solve an attachment problem by uploading company information to a personal email account or an unapproved free file-transfer website.

Those services may have different privacy, retention, access, and deletion practices. The business may also lose the ability to revoke the link or determine who accessed the file.

Employees should use the company’s approved Microsoft 365 storage and sharing process. If that process is unclear, the answer is better guidance, not an improvised personal account.

A Simple Decision Guide

Use this quick rule:

  • Small, ordinary document: Attach a copy.
  • Large document or presentation: Share a OneDrive or SharePoint link.
  • File that several people will update: Share one cloud file with appropriate editing permission.
  • Several files that must remain together: Use an approved cloud folder or a permitted ZIP file.
  • Sensitive information: Confirm the approved sharing method with IT.
  • Repeated delivery failure: Ask IT to check message limits, permissions, file type, and recipient restrictions.

Preventing Repeat Attachment Problems
