Office 2021 Support Ends October 13: What Small Businesses Should Do Now

The Deadline Is Only Days Away

Microsoft will end support for Office 2021 and Office LTSC 2021 on October 13, 2026. Related 2021 editions of Project and Visio are also approaching the same deadline.

The applications will not necessarily stop opening the next morning. Word, Excel, PowerPoint, Outlook, and other installed programs may continue to work. The important change is what happens behind the scenes: Microsoft will no longer provide security updates, bug fixes, or technical support for these versions.

For a small business, that turns familiar software into a growing operational and security risk.

Why End of Support Matters

Unsupported software does not become unsafe at one exact moment. The risk increases over time as new weaknesses are discovered but no longer fixed.

That can create several business concerns:

  • Newly discovered security problems may remain unpatched.
  • Compatibility issues with Windows, email, cloud storage, and business applications may become harder to resolve.
  • Employees may experience problems that Microsoft no longer investigates.
  • Unsupported software could create questions during a cybersecurity, insurance, or compliance review.
  • An urgent upgrade after something breaks may cost more and cause more downtime than a planned transition.

Office documents arrive through email, downloads, shared folders, client portals, and cloud services every day. That makes Office security relevant even when employees are careful about what they open.

First, Find Out Which Version You Have

Do not assume every computer uses the same version. A business may have Microsoft 365 on newer laptops, Office 2021 on older desktops, and another edition on a specialty workstation.

On many Office installations, an employee can open Word or Excel and look under File, Account, or About to identify the product and version. An IT provider can perform a wider inventory when the business has several computers.

Microsoft recommends moving from Office LTSC 2021 to Microsoft 365 Apps. For organizations that cannot use a cloud-backed subscription because of operational, regulatory, or connectivity requirements, Microsoft identifies Office LTSC 2024 as the current supported on-premises alternative.

The right choice depends on how the business works.

Microsoft 365 Apps generally fits businesses that want ongoing updates, cloud collaboration, OneDrive or SharePoint integration, and centralized account management. Office LTSC 2024 may suit a narrower set of situations where computers must remain offline or where a perpetual, locally installed version is required.

A small business should compare more than the purchase price. Consider:

  • How employees share and edit documents
  • Whether the business uses Exchange Online, Teams, OneDrive, or SharePoint
  • Whether staff work from several locations
  • Which add-ins, templates, macros, or third-party applications depend on Office
  • How licenses are assigned when employees join or leave
  • Whether computers meet the requirements for the replacement software
  • Who will manage updates and resolve migration problems

Test Before You Upgrade Everyone

A rushed company-wide installation can uncover compatibility problems at the worst time. Test the proposed replacement on a small number of representative computers first.

Open the documents and workflows that matter most, including:

  • Excel workbooks with macros or special add-ins
  • Word templates used for proposals, contracts, or forms
  • Outlook mailboxes, shared mailboxes, signatures, and archives
  • Visio diagrams and Project files
  • Mail merge processes
  • Accounting, estimating, document-management, and scanning integrations
  • Printers, PDF tools, and label systems that interact with Office

Confirm that important data is backed up before making changes. Files stored only on one computer should be moved into an approved, protected business location rather than trusted to survive an upgrade by chance.

Avoid the Last-Minute Shortcuts

Employees should not download cheap license keys, unofficial installers, or “lifetime” Office packages from unfamiliar websites. A low price can hide an invalid license, modified installer, or software that cannot be managed properly.

Businesses should also avoid removing an old version before confirming that the replacement is licensed, tested, and ready. Where older software must remain temporarily, the exception should be documented and protected as part of a clear transition plan.

The deadline is not only a software issue. It is an opportunity to clean up unused licenses, standardize Office versions, review file storage, confirm backup coverage, and make sure employees know where official business documents belong.
