Microsoft 365 Added More Email Protection: Is Your Business Actually Using It?

A New Feature Is Not the Same as a Finished Security Setup

Microsoft changed the pricing and packaging of several commercial Microsoft 365 subscriptions during 2026. Along with the price changes, qualifying plans gained additional security and IT-management capabilities.

Microsoft says the expanded features include Microsoft Defender for Office 365 Plan 1 for certain subscriptions. This provides protections designed to identify dangerous links, suspicious attachments, phishing, and business email compromise.

That sounds reassuring, but a license appearing in the account does not automatically mean every useful policy has been reviewed, configured, or tested for the way your company works.

What Defender for Office 365 Plan 1 Does

Defender for Office 365 Plan 1 adds protection beyond basic spam filtering.

Its capabilities can include:

  • Safe Links: Checks supported links for known malicious destinations when users click them.
  • Safe Attachments: Examines files for malware and other dangerous behavior.
  • Anti-phishing policies: Help identify impersonation and deceptive messages.
  • Real-time detection: Gives administrators better visibility into threats affecting email and collaboration services.
  • Protection for shared files: Certain protections can extend to files used through SharePoint, OneDrive, and Teams.

These controls can reduce risk, but they do not eliminate the need for employee awareness, account security, and prompt investigation of suspicious activity.

First, Confirm What Your Business Owns

Microsoft’s packaging differs by subscription. Before changing settings, confirm:

  • The exact Microsoft 365 or Office 365 plan assigned to each employee
  • Whether Defender for Office 365 Plan 1 is included
  • Whether every person who needs protection has the correct license
  • Whether Microsoft has posted relevant notices in the tenant’s Message Center
  • Whether the business is paying separately for a feature now included elsewhere
  • Whether old or unused subscriptions can be removed at renewal

This review can prevent both security gaps and unnecessary licensing costs.

Then Review the Policies

Once licensing is confirmed, an administrator should review how email protection is applied.

Important questions include:

  • Are Safe Links policies covering the intended users?
  • Are attachments being scanned before employees open them?
  • Are impersonation protections configured for owners, finance staff, and other frequently targeted employees?
  • Are messages from external senders clearly identified?
  • Who receives alerts when Microsoft detects a threat?
  • Does someone review quarantined messages and security reports?
  • Is there a documented process for responding to a compromised account?

Policies should be tested carefully. An overly aggressive rule can interfere with legitimate email, while a weak rule may provide less protection than the business expects.

Do Not Forget Shared Files and Collaboration Tools

Email is only one part of Microsoft 365. Employees also exchange files through Teams, OneDrive, and SharePoint.

A malicious file can arrive through a shared workspace instead of a traditional attachment. That is why businesses should review collaboration protection, sharing permissions, guest access, and the handling of files received from outside the company.

This is especially important for companies working with clients, vendors, contractors, or temporary staff.

Security Still Requires People and Process

Technical protection works best when employees know what to do with unexpected requests.

Staff should be encouraged to verify:

  • Sudden payment or bank-detail changes
  • Unexpected document-sharing requests
  • Urgent messages that appear to come from an owner
  • Sign-in prompts triggered by an unsolicited link
  • Attachments that do not match the surrounding conversation

Employees also need a simple way to report questionable messages without worrying that they are wasting someone’s time.
