A staff member opens an important spreadsheet and sees a message saying the file is locked for editing. Another employee insists they already closed it. Someone creates a copy called “Final Updated,” another person creates “Final Updated 2,” and suddenly nobody knows which version is correct.
This common Microsoft 365 problem can delay invoicing, payroll preparation, scheduling, inventory updates, proposals, and monthly reporting.
The message does not always mean the file is damaged. It usually means Microsoft Office is trying to prevent two conflicting versions of the same file from overwriting each other.
A Word, Excel, or PowerPoint file can become locked or read-only for several reasons:
Microsoft notes that the “other user” holding an Excel lock can sometimes be the same person who is trying to open it.
Before changing permissions or creating another copy, try these steps.
Determine whether the file is in OneDrive, SharePoint, Teams, a local computer folder, or a traditional network drive.
Files shared through Teams are generally stored in SharePoint behind the scenes. The storage location affects whether multiple employees can edit the file at the same time.
Ask the employee named in the lock message to close the file.
If the message names you, check whether the spreadsheet is open on another computer, in a browser tab, or on a mobile device. Close those copies and fully exit Excel.
Microsoft recommends allowing a short period for the server to release the lock. A file may remain temporarily locked after an application closes unexpectedly or before synchronization finishes.
Look at the OneDrive cloud icon near the Windows clock. If syncing is paused, showing an error, or waiting for a sign-in, the file’s status may not be reaching Microsoft 365 correctly.
Do not repeatedly move or rename the file while synchronization is unresolved. That can create additional copies or conflicts.
A file shared with “Can view” access will open read-only even when nobody else is using it.
Use the file’s sharing or access settings to see whether the employee has permission to edit. If they do not, request access from the owner instead of trying to bypass the restriction.
If the workbook is stored in OneDrive or SharePoint, open it in Excel for the web. Modern Microsoft 365 files can support coauthoring, allowing more than one person to work in the document at once.
Microsoft advises that everyone should use a supported Microsoft 365 version or the web version when coauthoring. One person using an incompatible Office version can cause locking problems for everyone else.
Creating a separate copy may be necessary when work is urgent, but it should be a controlled decision.
Use a clear name containing the employee’s name or date, tell the other collaborators immediately, and decide who will merge the changes into the official file.
Creating several unlabeled copies can produce a larger business problem than the original lock. Employees may invoice from the wrong spreadsheet, overwrite another person’s changes, or send outdated information to a customer.

Some restrictions exist intentionally to protect business information. If the cause is unclear, involve IT or the file owner before changing the setup.
A reliable collaboration process reduces these interruptions.
Store shared Microsoft 365 documents in an approved OneDrive, SharePoint, or Teams location that supports coauthoring. Use modern file formats such as .xlsx, keep Office and OneDrive updated, and provide employees with consistent application versions.
Access permissions should be assigned through business accounts and organized groups rather than improvised sharing links. Staff should also know which file is the official copy and who owns the document.
When the same file repeatedly becomes locked, IT should review its storage location, format, synchronization status, permissions, add-ins, and how employees are opening it. The visible error may be only one symptom of a confusing file-management process.
