
Microsoft 365 is one of the most important software platforms for many small businesses. It often includes email, calendars, Teams, OneDrive, SharePoint, Office apps, security tools, and more.
As of July 1, 2026, Microsoft’s commercial pricing updates are in effect for many Microsoft 365 and Office 365 plans. Microsoft’s own licensing page lists changes for several business and enterprise plans, including Business Basic and Business Standard.
For a small business, this is a good moment to do more than accept the new bill. It is a chance to review whether every license still matches the way your team actually works.
Software subscriptions are easy to add and easy to forget. A new employee needs email. A department tries a new app. A contractor gets temporary access. Someone leaves the company, but the license stays active.

Microsoft has added and expanded many Microsoft 365 capabilities, including AI, security, device management, and productivity features. Some plans now include more protections or tools than before.
That can be useful, but only if the business knows what is included and turns on the features that matter.
For example, a company may be paying for security tools but still not using stronger sign-in protections. Another business may have AI features available but no policy for what employees can safely use them for. Another may have multiple file-sharing tools when one well-managed system would be clearer.
The goal is not to buy the cheapest plan. The goal is to match the right plan to the right person.
Start with a simple license audit.
Look at every active Microsoft 365 user and ask whether that person still needs the account. Then check whether the license level fits the role. A front-desk employee, field technician, manager, and bookkeeper may not all need the same plan.
Next, review security settings. Confirm that multi-factor authentication is required, old accounts are disabled, external sharing is controlled, and administrator accounts are limited.
Then review add-ons and AI tools. If Copilot or other AI features are in use, decide who should have access, what data they can use, and what business tasks they are approved for.
Finally, document renewal dates. Software renewals can sneak up quickly. A calendar reminder 60 to 90 days before renewal gives your business time to adjust before another billing cycle starts.
